Who processes your data

The data controller is Società Cooperativa Ballarò, which runs Residence Le Benedettine, with registered office at Via Niccolò Garzilli 34, 90141 Palermo, Italy (VAT no. 05450820823), represented by its legal representative Massimiliano Lombardo.

For any question about data protection and to exercise your rights, write to the controller at amministrazione@ballaro.org.

Browsing the website

The website does not use profiling cookies or analytics tools and does not load third-party content, which is why there is no cookie banner. Like any website, the server records technical access data (IP address, date and time, page requested) for security and proper operation.

The map opens on OpenStreetMap and booking with a code on the TeamSystem Hospitality system only if you choose to open them: from then on their privacy notices apply.

The “Check availability” form

We collect the data you enter: first name and surname, date and place of birth, address, email and phone, home institution, role and reason for the stay, dates, arrival time, preferred room, number of guests, notes, identity document and signature.

We use them to check that your stay is among those allowed at the University of Pisa guesthouse, to prepare a quotation and to manage the booking. The legal basis is taking steps at your request prior to entering into a contract (Art. 6(1)(b) GDPR).

The required fields are necessary: without them we cannot assess your request.

During your stay

Italian law requires guests’ details to be reported to the police (Art. 109 TULPS) and the City of Pisa tourist tax to be applied. For this processing the legal basis is a legal obligation (Art. 6(1)(c) GDPR).

Who we share data with

The website, the form and email run on servers managed by Società Cooperativa Ballarò. The booking management system is TeamSystem Hospitality, provided by TeamSystem S.p.A., which processes data as data processor. Every email sent to info@residence.unipi.it, including form requests, is automatically forwarded to benedettine@unipi.it: the University of Pisa receives it to monitor how the guesthouse is run. Data are disclosed to public authorities only for legal obligations and are never sold or used for advertising.

How long we keep data

The website server deletes the identity document, signature and declaration PDF as soon as they have been emailed to reception.

The request, declaration and copy of the document are kept for 12 months after the end of the stay, or after the request if the stay does not take place. Data needed for accounting and tax obligations are kept for 10 years. Technical browsing data for 30 days.

Transfers outside the European Union

Data are processed within the European Union.
